Getting Started with Inventory

Create your locations

Set up your warehouses, shops, or storage areas under Locations so the system knows where stock is held.

Add your products

Go to Products and click "Add Product". Enter each item with its name, SKU, category, unit of measure, and pricing.

Record opening stock

Use the "Stock In" button to record the initial quantities on hand at each location.

Set low-stock alerts

Define minimum stock levels on each product so you receive notifications before items run out.

Track movements

All stock-ins, stock-outs, adjustments, and transfers are recorded automatically, giving you a complete audit trail.

How-To Guides

Add a Product
Go to Products and click "Add Product". Enter the product name, SKU, category, and unit of measure. Set the selling price and cost price, then upload an image if desired. Click "Save" to create the product.
Record Stock In
Navigate to the Stock Overview and click the "Stock In" button. Select the destination location and add the products with their quantities. You can also enter batch numbers and expiry dates if applicable. Enter a reference number or note, then confirm to update stock levels.
Record Stock Out
Go to the Stock Overview and click "Stock Out". Choose the source location, select the products, enter quantities being removed, and provide a reason. This is useful for damages, samples, or internal consumption.
Transfer Stock Between Locations
Click "Transfer" on the Stock Overview page. Select the source and destination locations, add the products and quantities to move, then confirm the transfer. Both location balances update immediately.
Set Low Stock Alerts
Open a product record and find the low stock alert field. Enter the minimum quantity threshold. When stock drops below this level, the system will display a notification on your dashboard.

  • Perform regular stock counts and use the "Adjust" function to reconcile with system quantities and catch discrepancies early.
  • Use meaningful SKU codes that include category or supplier prefixes for easy product identification.

How do I correct a stock mistake?
Use the "Adjust" button on the Stock Overview to make a stock adjustment with a note explaining the correction. This maintains a clear audit trail rather than silently editing quantities.
Can I track stock across multiple locations?
Yes. Create each warehouse or shop as a Location, then use the "Transfer" button to move stock between them. Reports show per-location and combined totals.
Does stock update automatically when I make a sale?
Yes. When a sale is completed, the sold quantities are automatically deducted from the selected location. The same applies to purchase orders when goods are received.
Can I import products from a spreadsheet?
Yes. Go to Products and click "Import". Download the template, fill in your product data, and upload the file. The system will validate and import the records.
